AI receptionists and automation for small UK businesses
If you miss calls while you’re with a customer, or spend evenings copying details from emails into spreadsheets, a computer can probably do some of that for you. We set up AI receptionists and workflow automations for small teams in the West Midlands and across the UK, starting with an audit of where your time goes.
Where small teams lose time
- Calls that go to voicemail while you’re busy, and callers who ring someone else instead.
- The same questions answered by phone and email every day: opening hours, prices, “do you cover my area?”
- Enquiry details typed from a form into a spreadsheet, then into an invoice.
- Appointment reminders sent by hand, or not at all.
What we set up
An AI receptionist. It answers calls or website chat when you can’t, using your real prices, hours and services. It takes the caller’s details, books them in or passes urgent calls to you, and sends you a summary. See Hannah AI for one we built.
Workflow automation. We connect the tools you already use, so a new enquiry lands in your inbox, your spreadsheet or CRM, and your calendar without anyone retyping it.
Simple AI helpers. Drafting replies to common emails, summarising long documents, or sorting incoming messages by type, with a person checking anything that matters.
What it won’t do
An AI receptionist is good at routine questions and taking details. It shouldn’t give advice that needs your judgement, and it should always hand over to a person when a caller asks. We set it up that way, and we tell callers they’re talking to an assistant. Our blog post on what an AI receptionist can and can’t do goes into more detail.
How it works
- Task audit. On a 30-minute call, then a short follow-up, we list the jobs that eat your week and pick the one or two worth automating first.
- Fixed quote. You get a price for that first automation.
- Build and test. We set it up, test it with you, and adjust the wording until it sounds like your business.
- Hand over. You get a short guide, and we check in after the first few weeks.
Prices
The task audit is free. After it, you get a fixed price for each automation or AI receptionist before we start. Monthly running costs, if there are any, are in the quote too.

Questions about AI and automation
Will an AI receptionist sound robotic?
It uses a natural-sounding voice and your own wording, so it sounds like your business. Before it goes live, you can ring it yourself and we adjust the wording until you’re happy with it.
What happens to my customers’ data?
Call and chat data is processed and stored in the UK or EU, and we sign a data processing agreement with every client, so it’s handled under UK GDPR. The assistant only uses the information you give it about your business.
Do I need to change the software I use?
Usually not. We connect what you already have where we can.
Is it worth it for a business with two or three staff?
Often it’s most useful for small teams, because there’s nobody spare to answer the phone. The audit will show whether the time saved is worth the cost before you spend anything on a build.
